Officer Job Descriptions



BOARD MEMBERS

Membership Coordinator
  • Maintaining member database
  • Setting up new member accounts on the message board and notifying the new member of their status
  • Coordinating a "Welcoming Committee"
    • make contact with each new member by phone
    • will attempt to attend one activity with each new member
  • The Membership Coordinator's term of office shall be 2 years, with the exception of the first term of the organization, which will be a 3 year term in order to off set the transition of offices.

Co-op Coordinator
  • Maintain the 3 web-boards (one for each session of Co-op)
  • Create and post the schedule for each Co-op session
  • Set up accounts for new members on the appropriate web board
  • Accept Co-op Class Submission forms
  • Create Co-op Catalogue
  • Open board for registration
  • Monitor the progress of the session and make adjustments to the process as necessary
  • The Co-op Coordinator's term of office shall be 2 years, with the exception of the first term of the organization, which will be a 3 year term in order to off set the transition of offices.

Treasurer
  • Maintain the bank account, issue checks
  • Collecting dues
  • Sending renewal reminders
  • Collaborating with Membership Coordinator about members
  • Writing checks and maintaining the bank account
  • Maintaining financial records
  • Providing financial statements
  • Filing taxes
  • Training your successor
  • Treasurer's term of office shall be 2 years

Chairperson
  • Calling meetings once per calendar month
  • Setting the agenda - with input from the other board members and committee heads, and providing it to the Secretary
  • Establishing meeting procedure
  • Calling emergency meetings when necessary
  • Approving the minutes taken by the Secretary
  • Co-signing any checks written by the Treasurer for amounts over $50
  • The Chairperson's term of office shall be 2 years

Secretary
  • Taking meeting minutes
  • Submitting a resume of minutes to the Chairperson for approval
  • Solidifying the agenda supplied by the chairperson for the meetings and providing a copy for each board member
  • The Secretary's term of office shall be 2 years
